Why Sign Quotes Take So Long, and How to Cut Quote Time

Short answer: quotes are slow because the first enquiry rarely includes what you need: the size, the sign type, a usable logo and the colors. Collect those up front, price from fixed rates, and most of the back and forth disappears.

Ask any sign shop where the time goes and the answer is rarely the pricing itself. It is everything around it.

Where the hours go

A typical enquiry says something like "How much for a lit sign for my shop?" Before you can answer, you need to find out:

  1. What kind of sign. Lit letters, a lightbox, neon, or flat letters?
  2. How big. Customers often have no idea, or give a size that will not fit the wall.
  3. What it says. The exact words, and whether there is a logo.
  4. The logo file. Often a screenshot or a low resolution image from social media.
  5. Colors and finish. Brand colors, a lit color, the backer.
  6. Where it goes. Indoors or outdoors, and how it is mounted.

Each of those is an email and a wait. Then you draw a mockup, send a price, and the customer changes the size, which starts the loop again.

How to shorten it

Ask for everything on the first contact

A quote form with the questions above saves one or two rounds. It still leaves you to draw the mockup and work out the price.

Price from rates, not from scratch

If you price by square foot, per meter of neon tube and fixed add-ons, you can work out any quote in minutes, and different people in the shop get the same answer. See channel letter pricing and how to price LED neon signs.

Let the customer make the first mockup

The slowest step is drawing a mockup and redrawing it after each change. When customers lay out their own sign, at a real size and in your materials, they arrive with a design they already like.

Keep the conversation in one place

Quotes stall when the details are spread across email, texts and phone calls. One thread per job means nothing gets lost. More in approving sign proofs without endless email chains.

What this looks like with an online designer

With Sign Designer on your website, the customer:

  • picks from only the sign types, fonts and colors you offer
  • sets the size in real inches, and uploads their logo
  • sees an estimate from your rates straight away
  • submits it to you as an order, with the design file attached

You start from a complete design and a price that is already close. You review it, agree the details in the order's thread, and send the invoice. You still check every design before it goes anywhere near production.
